Don’t Forget The Bubbles, an award winning WHO-referenced global education programme for Paediatric Emergency healthcare practitioners, approached us with the challenge to bring the DFTB community together and to get the connected feeling participants experience at the DFTB in-person conference.
We organised a one-day virtual conference across multiple time zones with 10 hours of content around story and science, 25 speakers, nearly 800 attendees from 32 countries, six “corridor consult” roundtables, four coffee lounges, 500+ speed networking connections, and 1,000+ chat messages.
Highlights included BAFTA Award-winning writer Nicole Taylor on Scouring the lid of Pandora’s box: the writing of Three Girls, comedian Rob Delaney interviewed by Mary Freer in a Conversation about Eternity, discussing the loss of his son, and musical interludes from Suman Biswas, ED Musos and the global DFTB team, as well as the launch of the Skin Deep project, dedicated to providing high quality, accessible images which improve the diversity available in paediatric skin images found online.
The Business Narrative team led the project, working closely with the DFTB team. Sourcing a virtual event platform, we designed the virtual event to meet its purpose, managed the budget, and consulted on marketing and partnership management. We led on all aspects of event management including platform selection and management, virtual event setup including platform customisations, livestreaming, risk register for technical challenges, digital studio stage management for speakers, speaker tech checks and rehearsals, live vision-mixing and lower thirds, creation of interstitials and stings, managing co-located pre-records, production scheduling for livestreaming team, sponsor management and virtual booth setup and script writing for moderators.
On the day, we managed the event both “backstage” in our digital studio, ensuring speakers had a good, engaged experience to maximise the quality of their presentations, dealt gracefully with inevitable tech hitches and “front of house” with an online-onsite team managing the Virtual Helpdesk, staffing the inbox for login queries, managing the comms and messaging on the day, overseeing roundtables, moderated sessions, sponsor booths and ensuring the event went smoothly.
Phenomenal feedback from clients and participants, and a privilege to deliver a virtual event with real impact on the healthcare of the next generation.
